Special Events Coordinator

Salary: 17.60 per hour
Summary
LetsStopAIDS is a Canadian youth-HIV charity that focuses on HIV prevention and knowledge exchange by engaging young people and fostering leadership. Since 2004, we have been creating a global network of youth-HIV leaders.
Employment Term: 8 weeks (35 hours per week)
Candidates must:
- Be between 15 and 30 years of age at the beginning of the employment period
- Be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment
- Have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations
Responsibilities
- Support the planning and coordination of the charity’s events, from concept to execution
- Assist in venue logistics, décor planning, and coordinating food, beverage, and flow of the event
- Help manage relationships with vendors and performers, including booking and schedulingParticipate in meetings, brainstorming sessions, and regular check-ins with the Event Manager
- Contribute to budget tracking and assist in organizing documentation related to the event
- Provide support during live events, ensuring everything runs smoothly and on schedule.
Qualifications
- A current student or recent graduate in event planning, nonprofit management, hospitality, marketing, or a related field
- Passionate about social causes and creating meaningful experiences
- Strong organizational skills, with a keen eye for detail
- Comfortable working in both independent and team environments
- Willing to learn, take initiative, and grow professionally through mentorship and practical experience
- Some experience (volunteer or paid) in event coordination or logistics is an asset, but not required
- Familiarity with Google Workspace (Docs, Sheets, etc.); knowledge of event management tools is a bonus.
